Presto secures the future with INSIKT

 Every day, Presto helps its customers with fire protection and safety-related training. This means that they help companies and organizations in Sweden, Norway and Finland to ensure that they have a safe environment that is protected against fire and that no one or no one should be harmed by fire or accident. Today, Presto is present all over the Nordic region and has approximately 700 employees. They have a turnover of around SEK 1 billion and help around 20,000 customers every year to ensure that they have good fire protection and that they know how to work safely in their daily operations.

Before INSIKT

Olof Fransson works as CFO at Presto. He describes how the company's growth eventually led to a situation where managing the complexity of the business became too difficult.

- We had outgrown that stage in our growth journey and we needed a tool that scaled better with our business, quite simply, says Olof. Before we had INSIKT, we spent more time doing manual updates to models and follow-up templates, so it took a relatively large amount of time to keep the whole model up to date with how reality actually changed.

- Before we implemented INSIKT, we worked with an old BI-tool that could only read data and compile it, explains Tatiana Pryadko, Business Controller. She further explains that it was only financial data. Our end users could only see numbers and couldn't drill down and understand where the numbers came from. We also had work in Excel, on the side, which required quite a lot of time from us to compile all the data.

Tatiana also describes how in the past Excel files were sent back and forth within the organization, which created uncertainty about what was correct, as formulas were sometimes misleading and rows could have moved. The whole thing eventually led to a very complicated budget work.

What was your everyday life like before INSIKT?

- Before we implemented INSIKT, our budget work required quite a lot of manual work. The system we had before INSIKT could not handle accruals at the department level, which INSIKT handles very advanced, Tatiana explains.

- It was a rather inefficient way of working, which of course also leads to the risk of quality deficiencies, Olof continues. If there are several manual steps, the risk of forgetting something and accidentally making a mistake increases. It was a situation with a risk of quality defects in addition to the fact that it also took an unnecessary amount of time.

How did the implementation go?

After the need was identified and the solution was outlined, Presto quickly started working in INSIKT.

- The implementation of INSIKT has gone very well from my perspective and I would say that it has gone very quickly and yet in a quality assured way, Olof says. I think the key to that has been that we got a realistic picture from INSIKT's implementation team quite early on of what the system can do and what it can't do. This gave us an opportunity to set a good plan where we had clear expectations that were also realistic and achievable. This allowed us to push the project forward at a fast pace. From the time we started until we reached the finish line, it took about 2 months until we had a budget model that could be used throughout the operations in the Nordics.

How did it turn out?

Today, Presto uses INSIKT daily and is the hub of all budgeting and analysis work. The analysis module is used for daily and monthly follow-up of results and the planning module is used for both budgeting and forecasting continuously throughout the year. However, Olof emphasizes the importance of everyone in the organization now having access to the same data.

- The main difference compared to before is that now we partly have a version of the truth, that is to say that everyone in the group looks at the same numbers and we don't have to spend time discussing whether it is one or the other number that applies, but we know that it is the same numbers that we are looking at. And everyone agrees on that and it makes, so to speak, the current state analysis much easier. That you can go straight to: "What do the numbers mean?" rather than discussing "Are we looking at the right numbers?".

Tatiana also agrees that the work today has become much more powerful and efficient.

- Now we have a much better picture: Where do all the numbers come from. Under budget, we can periodize costs for the right month, we can manage salary budgets on an individual level. Currently, we have more confidence in our numbers during the budget work now that we have INSIKT, so we can spend more time on analysis work, qualitative work than just sitting and building reports.
